Registering for sales tax in several states.

The permits are mostly free. Working out which states you owe one in, and from what date, is the actual job, and it is the part that decides whether you end up with a clean registration or a back period. Here is what creates the obligation, what a marketplace does and does not do for you, and when the free route is better than hiring anyone.

What creates the obligation

Storing inventory somewhere you did not choose.

Most states have taken the position that storing goods in a warehouse creates sales tax nexus. For a seller using Amazon FBA, that means stock moved between fulfilment centres can create obligations in states you never targeted and may not know about. Where your inventory has physically been is the starting point for any honest answer, and it is a question about logistics records rather than about sales reports.

Crossing an economic threshold on remote sales.

Many states require registration once you exceed a revenue amount, a transaction count, or both, into that state. The numbers differ by state and they are not all measured over the same period. Crossing one is a fact about your sales data rather than a judgement call, which makes it the most checkable trigger of the three.

Anything that counts as physical presence.

Inventory is the common one for e-commerce, but staff, contractors, offices, and in some circumstances attending trade shows can each do it. This is the oldest form of nexus and it is the one most likely to already apply before anyone starts thinking about thresholds.

Whether a particular fact pattern creates nexus for you is a tax question, and we are not the people to answer it. What we can do is take a determination you or your CPA have made and turn it into correct registrations in every state on the list.

Five things worth knowing first

A marketplace collecting tax does not remove your duty to register.

Amazon collects and remits under marketplace facilitator laws in nearly every state, and sellers routinely read that as meaning there is nothing to do. Amazon does not handle your registration. In a number of states you still need a permit and still have to file returns, sometimes zero or informational ones. Collection and registration are separate questions with separate answers.

The permit is usually free. The analysis is the cost.

Texas charges nothing for a sales and use tax permit, and most states charge nothing or very little. Almost none of the cost of multi-state registration is state fees. It is determining which states, in what order, and from what date, which is why we quote a multi-state project as one flat total rather than pricing it as a stack of identical tasks.

The Streamlined system is free, and sometimes the better answer.

The Streamlined Sales Tax Registration System charges no fee and registers you across its member states in one go. For some sellers that is genuinely the right route and you should use it rather than paying anyone. For others it is a poor fit, because it registers you across the whole group rather than only where you have an obligation, and each registration carries ongoing filing. We will tell you plainly when the free option beats hiring us.

The registration date matters more than the registration.

States ask when the obligation began, not when you noticed. An accurate answer can create a back period with tax already due on sales you did not collect on. A convenient answer creates a different problem later. We prepare registrations with the date the facts support and tell you what that means before anything is filed, rather than picking the comfortable date and leaving you to find out.

One state form often covers more than sales tax.

Pennsylvania, North Carolina, and Indiana each use a single registration and cancellation apparatus spanning sales, withholding, and other tax types. Efficient when you need several accounts and a source of error when you need one, because the form does what you tick and warns you about nothing you left out.
