Each is counted per state, quoted as one flat total in writing before you decide, and evidenced per state with the account number or the agency's written confirmation. Where a state's process is documented on this site, the page names the agency, the form, the portal, the fee, and the date each fact was checked.
Two ways firms work with us
Referral
You send the work, we bill your client directly, and every confirmation copies back to you. Simplest when the client should hold the vendor relationship.
White label
You bill your client and we invoice your firm. We work under your engagement, your firm can be named the account holder where the state permits it, and your client never hears from us at all.
Intake is ours to run
The usual way this work is outsourced, the firm gets a spreadsheet covering every state and every scenario and has to chase its own client to fill it in. Ours works the other way. We send a form that asks only about the states on the order, already filled in from last time for a returning client, and anything left unanswered becomes a task on the order instead of a blocker. Sensitive details like Social Security numbers go into the form directly, encrypted, never through email.
What we never do
- We do not determine nexus, taxability, or whether a client should register. Those determinations are yours or your client's advisor's.
- We do not give tax or legal advice. We prepare and file what your firm instructs us to file.
- We do not contact your client, market to them, or keep their details beyond the retention window published on our security page.
- We do not file ongoing returns. Registration, closure, and the final return where a state requires one before it will close an account.
Questions firms ask
Can our firm be the account holder?
Yes, where the state's registration permits a third-party or representative arrangement, and that varies by state and account type. Tell us the state and we will say plainly what that state allows before anything is filed. Either way, the client relationship stays yours: correspondence routes to your firm and we never contact the client.
Do you contact our client?
No. Intake runs through a form we send to whoever you designate, filled in advance where we already hold answers, and everything we deliver comes back to your firm. We do not email, call, or market to your client, in either partnership model.
Who decides which states to file in?
You do, or your client's advisor does. A list of states is the instruction we work from. We file the registrations or closures on that list and return the account numbers, filing frequencies, and written confirmations per state.
What do you charge a partner firm?
Partner rates are set on a call, not published. Retail prices for direct clients are on the pricing page. Multi-state work is quoted as one flat total in writing before you decide, and state agency fees pass through at cost as a separate line.
How is the work evidenced?
Per state. An order is complete when the evidence exists for each state on it: the account number, the permit, or the agency's written closure confirmation. One state's letter never stands in for another's.
