When you have to register

Register before withholding Utah income tax from wages. The annual reconciliation and all W-2 and 1099R forms are due by 31 January and must be filed electronically, so the account needs to exist well before the first year-end.

Note that Utah requires employers to file annual reconciliations and withholding forms electronically, and that the Tax Commission matches employer withholding information against employees' individual income tax returns. How long it takes

Utah does not publish a turnaround we could confirm. What it does describe is the sequence: account information arrives by email first, and only then do you create the TAP login used for filing and paying.

What makes Utah harder than average

  • Your personal filing history follows you. If any listed owner, partner, officer, member or trustee has a record of late withholding filing or payment, outstanding liabilities have to be paid and a surety bond may be required before the new account issues. Very few states look through the entity like this.
  • There is a sequence, and skipping it wastes a day. The account information arrives by email, and only then can you create the TAP login. Trying to set up the login first does not work.
  • Electronic filing is mandatory for the annual pieces. Employers must file annual reconciliations and withholding forms electronically, so a paper habit from another state will not transfer.
  • The Tax Commission cross-checks what you file. It matches employer withholding information to employees' individual income tax returns, which is a level of reconciliation most states do not advertise.
